Clothing manufacturer quote checklist with garment samples, fabric swatches, size chart and logo artwork

Use this practical clothing manufacturer quote checklist to prepare specifications, quantities, artwork, samples, packaging, and delivery details.

A clear quote request saves time, reduces mistakes, and makes supplier comparisons fair. Before contacting a custom clothing manufacturer, prepare a written brief that explains exactly what you need.

Start with the product

State the garment type, intended use, reference images, required sizes, and colourways. A football jersey, training hoodie, leather jacket, and motorcycle racing suit require different materials, construction, and quality checks.

Include quantities and size breakdowns

Give the total order quantity plus quantities by style, colour, and size. Manufacturers cannot produce a reliable quote from a total quantity alone.

Share artwork and branding needs

Provide vector logos where possible and identify each decoration method: sublimation, embroidery, screen print, heat transfer, patches, player names, or numbers. Include label, hangtag, packaging, and carton-mark requirements for private label orders.

Explain fabric and construction priorities

List fabric preferences, target weight, stretch, lining, reinforcement, and any performance requirement. If you do not know the fabric, describe the intended activity and provide a reference garment.

Ask for a sample and approval route

Request a sample before bulk production. Confirm how fit, colours, measurements, logos, labels, and packaging will be approved in writing.

Confirm delivery information

State your destination country, required delivery date, preferred shipping method, and whether customs paperwork or branded packaging is needed.

Sourcing FAQ

Frequently Asked Questions

Send a clear product brief: garment type, reference images or sketches, quantities by style, colour and size, artwork, fabric and construction preferences, labels and packaging, sample requirements, delivery country and target date. The more specific the brief, the easier it is to compare like-for-like quotations.

A full tech pack is the best option because it records measurements, materials, trims and construction details. If you do not have one, begin with reference images, a size chart, fabric direction, logo placement and a list of open decisions. Ask the manufacturer which details are still needed before pricing.

Give the total quantity, then break it down by product style, colour and size. State whether the quantity is for a sample, an initial bulk run or a repeat order. This helps a manufacturer assess material use, decoration setup and the production route before quoting.

Provide editable vector artwork where available, such as AI, EPS, PDF or SVG, along with placement notes and colour references. If only a raster file is available, send the highest-resolution original and ask the manufacturer to confirm whether it is suitable for the chosen decoration method.

Yes. A sample allows both sides to confirm fit, measurements, fabric, colours, decoration, labels and packaging before bulk production. Agree the approval criteria and record any changes in writing so the approved version, not an earlier reference, guides the bulk order.

State the delivery country, target delivery date, preferred shipping method and any packaging or customs-document requirements. Ask the manufacturer to separate product lead time, sample timing and shipping assumptions, because these are different parts of the order plan.
